1. What we collect

Account info for parents and Operators (name, email, phone). Registration details submitted for an athlete (name, grade, position, emergency contact, and any custom fields an Operator adds). Waiver signatures, including signer identity, timestamp, and IP address. Payment is handled by Stripe — we do not store full card numbers.

2. Children's information

Event registrations commonly include information about a minor athlete, submitted by their parent or guardian. We do not knowingly collect this information directly from children — it comes from the registering adult. This data is used only to operate the registered event (roster, check-in, emergency contact) and is visible to the Operator running that event.

3. How it's used

To run registrations, process payments, generate rosters, send confirmation/reminder emails, and — where an Operator has entered a custom fee arrangement — to calculate platform fees. We do not sell personal information.

4. Who it's shared with

The Operator of an event you register for sees your registration, waiver signature, and payment status for that event. Stripe processes payment and receives what's needed to do so. We use Resend to deliver transactional email, and Twilio to deliver text message notifications when an Operator sends one and a phone number is on file. We don't share data with other Operators or third parties beyond what's needed to run the platform.

5. Data retention

Waiver signatures are kept as an append-only audit record and are not deleted, even if a registration is later cancelled — this is retained permanently as a liability record, since it's the legal proof a family agreed to the event's waiver. Registration and payment records are retained for the lifetime of your account, and for seven years afterward, consistent with standard financial recordkeeping practices. Other account data (profile information, unused accounts) can be deleted on request — see the section below.

6. Your choices

You can request a copy of your data or ask us to delete your account by contacting tim@faceofffactory.com. Waiver signatures tied to a completed registration, and financial records as described above, are retained as a legal record even after an account deletion request.
